Excel Services Terms & Conditions

1. Scope of Work
Each project begins with a written brief or uploaded spreadsheet from the client. Prestigeweb will provide a fixed-price quote based on the assessed complexity. The quote defines the scope. Any work beyond the agreed scope constitutes a change request and will be quoted separately before proceeding.
2. Service Tiers
- Excel Fixer (Tier 1): Formula repairs, dashboard cleanup, data validation fixes, and performance optimisation. Typical turnaround: 24-48 hours.
- Custom Template (Tier 2): Bespoke spreadsheets built from scratch with formulas, charts, validation, and documentation. Typical turnaround: 3-5 business days.
- VBA Automation (Tier 3): Full macro automation including automated data processing, multi-sheet workflows, user forms, error handling, and documentation. Typical turnaround: 1-2 weeks.
3. Revisions
Tier 1 includes 1 revision round. Tiers 2-3 include 2 revision rounds. A revision round is defined as a single batch of related changes submitted together. Additional revisions beyond included rounds are billed at R350/hour (or $25/hour for international clients).
4. Payment Terms
- Tier 1: Full payment on delivery.
- Tiers 2-3: 50% deposit upfront, balance on delivery. Work begins only after deposit is received.
- Payments accepted via PayFast (ZA) or PayPal (international).
- The 50% deposit is non-refundable but is credited in full toward the project.
5. Cancellation
Either party may cancel the project at any time by written notice. If the client cancels after the deposit has been paid, the deposit is non-refundable. If Prestigeweb cancels, the full deposit will be refunded. Completed work delivered before cancellation remains the property of the client.
6. Intellectual Property
Upon full payment, the client owns all deliverables including spreadsheets, macros, formulas, and documentation. Prestigeweb retains the right to reuse non-client-specific patterns, techniques, and generic code components in future projects. Client-specific data, branding, and business logic remain exclusively the client's property.
7. POPIA Data Handling
- Clients are advised to remove all personally identifiable information (PII) and sensitive client data before sharing spreadsheets.
- Any data shared with Prestigeweb is used solely for the purpose of the project and is not shared with third parties.
- All client data and files are permanently deleted from Prestigeweb systems within 30 days of project completion or cancellation.
- Prestigeweb complies with the Protection of Personal Information Act (POPIA) and the General Data Protection Regulation (GDPR) where applicable.
8. Support & Maintenance
- All projects include 30 days of bug-fix support from the date of delivery. Bug fixes cover defects in the delivered work — not changes to requirements.
- After the 30-day period, support is available at R500/month retainer or R450/incident (international: $30/month or $25/incident).
- Support requests are responded to within 24-48 hours on business days.
9. Excel Version Compatibility
All deliverables are tested for compatibility with Microsoft Excel 2016 and later, including Microsoft 365 on Windows. VBA macros require Windows Excel and may not function fully on Mac or web versions of Excel. Compatibility requirements should be discussed during the quoting phase.
10. Delivery SLA
Turnaround times listed are estimates in business days, beginning from the date the deposit is received and project requirements are confirmed. Prestigeweb will communicate promptly if delays are expected. Turnaround guarantees do not apply in cases of force majeure (natural disasters, infrastructure outages, government actions, or similar events beyond reasonable control).
11. Limitation of Liability
Prestigeweb's total liability for any claim arising from a project is limited to the total fees paid for that project. Prestigeweb is not liable for indirect, consequential, or incidental damages including lost profits, data loss, or business interruption arising from the use of delivered spreadsheets or macros.
12. Governing Law
These terms are governed by the laws of the Republic of South Africa. Any disputes will be subject to the jurisdiction of the courts of Gauteng, Pretoria.
